The short answer

In the Chicago market, a mobile coffee catering package for a typical 100-guest event runs roughly $900 to $2,200, all in. Smaller events start around $500. Larger or further-traveling events can run $3,000 or more.

That range is wide because the pricing actually does vary that much. Below is what drives the number.

What you're paying for

A good mobile coffee setup is more than coffee. The cost covers:

  • Equipment. A real commercial espresso machine, grinder, water filtration, a built cart with branding-ready surfaces.
  • A trained barista. Not a friend of a friend, not a Starbucks alum's first gig, a person who can pull consistent shots for four hours under pressure.
  • Ingredients. Specialty beans roasted within days of your event, syrups, dairy, dairy alternatives, cups.
  • Travel and setup. Driving to your venue, loading in, setting up before guests arrive, breaking down after.
  • Insurance and licensing. Liability insurance and the right health permits.

Most of those costs are roughly fixed whether you have 50 guests or 150. The biggest variables are time and location.

What drives the cost

Number of guests

Each barista can serve about 50 drinks per hour comfortably. Past that, the line stalls and your guests start wandering away. So at around 100 guests in a two-hour window, you're either getting a slow line with one barista or a fast line with two. Two baristas costs more.

Length of service

Most vendors charge a base rate that covers two to three hours of service, then bill extra hours at a higher per-hour rate. A wedding cocktail hour is short. An all-day conference is long. The math matters.

Travel

Most Chicago coffee caterers are based somewhere in Chicagoland and include travel within a small radius. Far-out suburbs, the North Shore, or anything past about an hour from the vendor's base will add a travel fee.

Branding and add-ons

Custom-printed cups, branded sleeves, a wrapped cart, signage with your logo — all real costs we pass through. A simple wedding with plain cups costs less than a brand launch with full custom packaging.

Drink complexity

A menu of "drip and lattes" is cheaper to staff than a menu with five signature drinks, three syrup options, oat and almond milk, hot and iced. We can do either. The complex menus take longer and cost a bit more.

  • Specialty syrups or dairy alternatives beyond the standard
  • Gratuity (which should be optional, not required)

If a vendor's quote doesn't break those out, ask. Surprise charges after an event sour the experience.

How to compare two quotes fairly

When you're comparing two vendors, check:

  1. What's the base rate covering? Two hours or three? One barista or two?
  2. What's the per-hour overtime rate?
  3. What's the travel cap and per-mile rate beyond it?
  4. Is gratuity included or expected?
  5. Are custom cups in the base or extra?
  6. What's the cancellation policy?

The lowest-headline-number quote is often the most expensive once everything is added back in. The clearer the line items, the more honest the vendor.
